A modern, professional, and responsive School Management System designed to provide a clean and intuitive experience for administrators, teachers, accountants, receptionists, librarians, students, and parents.

The School Management System should use a fresh academic visual identity with a balanced combination of navy/royal blue, white, and subtle accent colors. The interface should feel trustworthy, organized, and modern while remaining easy to use for users of different technical skill levels.

The dashboard should feature a collapsible sidebar, a clean top navigation bar, role-based menus, notification indicators, profile controls, breadcrumbs, and responsive mobile navigation. Each role should see only the modules and actions relevant to their responsibilities.

Dashboard pages should use Bootstrap 5 cards, tables, badges, charts, statistics widgets, alerts, and progress indicators to present information clearly. Important metrics such as total students, teachers, attendance, fees collected, pending invoices, examinations, library books, and recent activities should be visually prominent.

The public website pages should use the same visual identity while providing a polished school-facing experience for admission inquiries, notices, exam timetables, result checking, and online fee payments.

The theme should be fully responsive, optimized for desktop, tablet, and mobile screens, with accessible typography, sufficient color contrast, generous spacing, subtle shadows, rounded cards, and smooth but restrained visual effects.

School Management System — User Guide

A complete walkthrough of every module, for every role.

Introduction

This system covers everything a school needs day to day: admissions, attendance, exams, fees, library, transport, and a public-facing website for inquiries and online fee payment. Access is role-based — each of the 8 roles below only sees the menu items relevant to them.

Site Activation

The very first time this installation is visited, every page redirects to /activate and asks for a security key. This is a one-time step done by whoever set up the server — once entered correctly, the site unlocks permanently for everyone (it's stored in the database, not a cookie, so it won't ask again on a different browser or after a restart).

If you're a regular user and see this screen, the site hasn't been activated yet — contact whoever manages the server. If you're the administrator, see the Deployment Guide for how to set the key.

Getting Started

Go to /login and sign in with your email and password. If you don't have an account yet, an Admin or Super Admin needs to create one for you (see Administrator).

After logging in, you land on your Dashboard — a quick summary relevant to your role, plus the latest notices.

Roles Overview

Role What they can do
Super Admin Everything, including creating other Admins, managing roles/permissions, and system Settings.
Admin Everything except creating Admins or editing core roles — runs day-to-day school operations.
Teacher Attendance, exam papers/results, study materials, admit cards for their classes.
Accountant Fee structures, invoices, payment collection, income/expenses, financial reports.
Receptionist Visitors, admission inquiries, complaints.
Librarian Book catalog, library cards, issue/return.
Student Own attendance, results, fees, admit card, library card, certificates.
Parent Same as Student, for each linked child.

Dashboards

Every role has its own dashboard with relevant stat cards (students, fee collection, pending enquiries, etc.) and a Noticeboard widget showing the latest announcements aimed at that role.

Academic

  • Classes & Sections — create classes (e.g. "Grade 5"), then add sections (A, B, C) under each. Admin/Super Admin.
  • Subjects — add subjects with a code and type (theory/practical). Admin/Super Admin.
  • Study Materials — teachers upload notes/files targeted at a class (optionally one section and subject); students/parents automatically see only their own class's materials.
  • Attendance — teachers pick a section and date, mark each student Present/Absent/Late/Half-day/Leave, and save.
  • Noticeboard — Admin/Super Admin publish notices with an audience (all, students, parents, teachers, staff) and optional expiry date.

Students

  • Admission — Students → Admit Student. Fill in personal details, class/section, guardian, and optionally a fee structure with custom fee overrides. A login is created automatically (password: password).
  • Guardians — Students → Guardians. Add a guardian first (creates their Parent login), then link them during student admission. You can also add a guardian directly from the admission form via the "+ Add new guardian" link.
  • Promote Students — bulk-move a whole class/section into the next class at year end; keeps a full promotion history.
  • Transfer Student — mark a student as transferred to another school; keeps a transfer record and removes them from active lists.

Administrator

  • Roles & Permissions (Super Admin only) — create custom roles and assign granular permissions; edit permissions on the 8 core roles too.
  • Admins (Super Admin only) — add other Admin accounts.
  • Staff — add non-teaching staff (receptionist, librarian, or a custom role), with optional extra individual permissions layered on top of their role.
  • Accountants — add accountant accounts with employee ID and salary.
  • Teachers — add teacher accounts with qualification/joining date.

Accounting

  • Fee Types — define fee categories (Tuition, Exam Fee, etc.) with a default amount and frequency.
  • Fee Structures — bundle fee types into a reusable package per class (e.g. "Grade 1 Standard Fees"), assignable at admission.
  • Fee Invoices — bulk-generate invoices for a class/section, using each student's effective fee amount (custom override → structure → default).
  • Payment Collection — collect payment against an outstanding invoice, offline (cash/card/bank transfer) or online.
  • Income / Expenses — record miscellaneous income and expenses by category and date.
  • Financial Report — Today/Month/Year profit-or-loss (fee collection + other income, minus expenses), a custom date range, and a 6-month trend.

Examination

  • Manage Exams — create an exam for a class with a center, then add subject-wise papers (date, time, room, max marks) — that builds the timetable.
  • Publish Timetable — once papers are added, publish so students/parents can see it under Exam Timetable.
  • Admit Cards — bulk-generate one per active student in the exam's class, then publish so students/parents can view/print theirs.
  • Results — teachers enter marks per subject; staff can print any student's result sheet from Print Results, students/parents print their own from My Results.

Library

  • Book Catalog — add books with a book number, ISBN, author, and available quantity.
  • Library Cards — issue a printable card to a student before they can borrow books.
  • Issue / Return — issue a book to a student with an active card; returning late automatically calculates an overdue fine.

Transport

  • Vehicles — add vehicles with number, driver name/phone, capacity.
  • Routes — create routes, assign a vehicle and fare, add stops with pickup times.
  • Student Transport — assign each student to a route (and stop).
  • Transport Report — rider counts and expected fare revenue per route, filterable student detail.

Pages & Shortcodes (Public Website)

These pages need no login — link them from your school's public website:

  • /noticeboard — public notices
  • /exam-timetable-board — published exam timetables
  • /check-result — result lookup (admission no. + date of birth)
  • /pay-fees — online fee payment (gateway selection; see the Deployment Guide for connecting a real payment gateway)

Settings (Super Admin only)

  • School Settings — name, logo, address, phone, email — shown across login, sidebar, and public pages.
  • Email Carrier (SMTP) — configure outgoing mail and send a test email.
  • SMS Gateways — store credentials for Twilio, Vonage/Nexmo, MsgClub, SMS Striker, or Textlocal, and mark one active.
  • SMS & Email Templates — customize the messages sent on Student Admission, Invoice Generation, and Fee Submission (online/offline).

My Profile

Click your name/avatar in the top-right, then My Profile, to update your photo, contact details, and password. Available to every role.

Tips & Troubleshooting

  • Forgot password? Ask an Admin/Super Admin to reset it, or use My Profile → Change Password if you're already logged in.
  • Can't see a menu item? It's likely restricted to another role, or a Custom role needs the matching permission — check with your Super Admin.
  • Notices/results not visible to students? Make sure the notice's audience and the exam's timetable/admit-card publish toggles are turned on.
